Exhibitor Registration and Conference Program Space Reservation Deadline: April 17, 2026
Payment and Materials Deadline: May 2, 2026
Cancellation Policy
All cancellations must be sent in writing.
Cancellations received by April 16, 2026 (60 days prior to the conference) are subject to a 15% processing fee.
Cancellations received between April 17 and May 16, 2026 (59-30 days prior to conference) receive 50% refund.
No refunds are issued after May 16, 2026 (within 30 days of the conference).
Set-up and Teardown Dates
All exhibit set-up completed by 5:00 pm, Tuesday, June 16.
Exhibit teardown begins at 2:00 pm, Friday, June 19.
Exhibiting Terms and Conditions
Two or more organizations may not exhibit in a single booth space without prior arrangements made with CMA Management.
Exhibits must not project beyond space allotted, must not obstruct the view of or interfere with traffic to the exhibits of others.
All exhibit materials must comply with fire and facility regulations.
Exhibitors may not deface any facility property.
Music or sound effects from a booth must not adversely affect the operation of another booth.
Exhibitors assume responsibility for and agree to indemnify and defend the CMA, the hotel and or conference property, their respective employees and agents against any claim or expenses arising out of the exhibition premises.
No Liability for loss or damage: CMA does not assume any responsibility whatsoever for any loss or damage suffered or incurred by any Exhibitor with respect to any personal or company-owned property β all of which shall be the sole responsibility of each Exhibitor.
Exhibitors carry their own insurance for their conference exhibit.
The CMA Executive Director (ED) in conjunction with the CMA Board of Directors (BOD) determines the eligibility of any company or product for exhibition. The ED and BOD may prohibit installation or request removal of any promotion that is not in keeping with the character or purpose of the event.
Any representatives who fail to observe the conditions of this contract or who, in the opinion of the CMA, conduct themselves unethically, may be dismissed from the exhibit area without a refund of booth fees.
CMA does not assume any obligation or responsibility to safeguard any Exhibitorβs company-owned or personal property while at the conference. Each Exhibitor acknowledges that the Exhibitor shall be solely responsible for the protection of all such property.
CMA has no duty whatsoever concerning the protection of the property of the Exhibitors, which shall at all times remain in the sole possession and custody of each Exhibitor and be the sole responsibility of each Exhibitor.
These guidelines are subject to change at the sole discretion of the CMA.
